At Bucknell, for example, an alum reached out asking for help arranging an athletic facility tour during their reunion weekend. The VEO, Lauren, didn’t just log the request, finding the right contact, confirming the plan, and making sure the alum felt welcomed and heard.
At DeLaSalle High School, a former student replied to an outreach email asking how they could come back to speak to students. VEO, Isla, asked clarifying questions and connected them to the alumni team so the opportunity became real.
At The Jackson Laboratory, outreach from VEO, Jackie, successfully invited donors to an in-person event. While there, individual gift officers met these donors face-to-face and started building rapport. After the event, they requested the donors be assigned to their portfolios. In one moment, digital outreach transformed into personal connection, ensuring those relationships moved forward without delay.
Proactive Handoffs: Knowing the Right Time to Involve Your Team
Proactive handoffs happen when a VEO spots donors who are ready for a deeper relationship, before they even ask for one. These are moments when the VEO transitions a donor naturally to a teammate for the next step.
At VCU, six donors who were ready have “graduated” to discovery portfolios. Some of those graduates have already had coffee with a gift officer, and one has since made their first gift. By the time the gift officers received the handoff, they weren’t starting from scratch — they had warm, engaged prospects ready for next steps.
At Parkland Health Foundation, a donor asked for a phone call to discuss a gift with their family. The VEO immediately flagged the opportunity, looped in leadership, and shared the context needed to connect that same day. The donor moved from intent to conversation while their interest was still fresh.
The Bigger Picture: Turning Every Interaction into Possibility
Human handoffs go far beyond closing gifts. They can be the event that sparks a new relationship, the supporter who offers to volunteer, the donor who’s ready to have a deeper conversation, or the moment curiosity turns into action.
The VEO’s role is to spot those moments and bring in the right person when it matters most.
